The Sales Coordinator is in charge ofthe ofice organisation. Assists in all administrative matters
related to the Sales & Marketing department.

MAIN RESPONSIBILITIES 主要职责
The job of Sales Coordinator is executed satisfactorily when:

The hotel achieves its Financial Objectives.

The Sales team that the person works with achieves their revenue objectives.

& arketing and Sales Coordinator.

Support the Director of Sales, Director of Sales & Marketing and the Sales Managers in
their day to day activities and to assist them in achieving their personal and team objectives.

Determine and implement the procedures and standards ofan effective filing system.

Provide adequate supplies of stationary and ensures that the following forms are used and
kept updated at all times:

1、Timesheets工时表
2、Purchase orders采购订单
3、Travel authorizations for business trips旅行授权商务旅行
4、Collateral reprint orders 抵押品重印订单
5、Brochure supplies(ofice)手册供应(办公室)
6、Holiday and sickleave 假期和病假
7、Expense forms报销
Maintain and update inventory: control ofall gifts and giveaways. Compile inventory monthly reports to be completed by end of each month.

Maintain an up-to-date operating manual of the department, incl. policies and procedures,
rules and regulations.

Assist sales manager to prepare Welcome card and arrange room every day.
每天协助销售经理准备客人欢迎卡片并送到相对应的房间。
Compile monthly SF express reports to be completed by 25th of each month
每个月的25日之前完成顺丰快递月度报告
Compile Landa statistics and duty roster. Reported to DOS & DOSM
统计Landa 数据和排班并汇报给销售总监和市场销售总监
Organizes daily incoming correspondence, making preliminary assessment and handles/
responds as appropriate.
整理每日收到信件,评估后处理分发给相关人员。Assist with the co-ordination of direct mail campaigns on behalf of sales and marketing,
labeling,data collection and distribution ofmailitems.
代表市场销售部协助协调各种邮件,处理信息分发资料。
Functions as an administrative link between and among all sessions of S&M to ensure that
all parties receive the relevant information.
协调部门内部,确保信息有效传达。
Answers and screens all incoming telephone calls and visitors to DOSM, provides/receive
s information or refers the matters to the proper persons to handle.
接听、记录所有市场销售总监电话及访客信息,及时将信息传达给相关人员处理。
Ensure the efficient liaison between the sales ofice and other salesofices in sister hotels
including the distribution ofour salescorrespondence and collateral to other hotels.

Annual contracting administration for corporate and leisure business.
续签公司和旅行社商务合同。
Ensure that store requisitions are submitted monthly.

Ensure ordering ofbusiness cards.

Ensure sensible and effective use ofthe telephone - all incoming calls promptly answered
in an agreed manner.

Ensure that calls are screened and dealt with in an appropriate way.

Assist telesales research of existing/new clients within guidelines of Director of Sales /
Director ofSales & Marketing.

Sort all incoming mail for the attention of the Direetor of Sales and Marketingand Sales
Department.

Ensure the strict confidentiality ofinformation passing thoughthe offce.

Record minutes of all meetings conducted by Sales Meetings and any others as when
directed by the Sales and Marketing team from time to time.

Maintain the highest standards ofprofessional, ethics, and attitude toward all hotel guests
clients. and colleagues.

Perform all duties and responsibilities in a timely and efficient manner in accordance with

Ensure that all potential and real hazards are reported and rectified immediately.
