To Assist Manager of Employee Residences with the support and co-ordination of all administrative related issues related to Colleague Residence.

Key Duties and Responsibilities

1. Maintain records, filings and computer files of Employee Residence.维护员工住宿相关记录、档案和电脑文件。
2. Record and track maintaining of facilities, equipment and items in Employee Residence.记录并跟踪员工宿舍内设施、设备和物品的维护情况。
3. Attend meetings in order to record minutes.参加会议,记录会议纪要。
4. Coordinate and direct residence office services, such as records and budget preparation, personnel, and housekeeping, in order to assist the director and manager.协调并指导住宿办公室服务,例如记录和预算编制、人员安排、客房服务,从而为主管和经理提供支持。
5. Prepare Purchase Requests for all of the team’s requirements, such as stationery, residence items and other equipment for the department.根据团队的所有要求编制采购申请,例如文具用品、宿舍用品和部门所需的其他设备。
6. Receives deliveries of new items and equipment and ensure that all the supplies are in proper order – Stores the supplies and items received in their designated place and make records accordingly.负责接收新购买用品和设备的到货,确保有序存放所有供给品 – 将收到的供给品和用品存放在其指定位置,并做好相应的记录。

8. Manage and maintain director and manager’s schedules.管理并维护主管和经理的日程表。

10. Open, sort, and distribute incoming correspondence, including faxes and email.打开、分类并转发收到的通信件,包括传真和和电子邮件。
11. Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.使用文字处理、数据表、数据库和/或演示软件编制发票、报告、备忘录、信件、财务报表和其他文件。
12. Assist with planning special events in Employee Residence.协助策划在员工宿舍内组织的特别活动。
